Specialist DescriptionPOSITION SUMMARY: We are looking for an
experienced Payroll Specialist whose primary responsibility is
preparing and processing payroll for our plant employees. This
position serves to appropriately maintain and calculate wages based
on our Company policies and procedures while ensuring compliance to
Federal, State and Local labor and wage laws. Important collection,
review and processing of employee information, working hours,
wages, deductions, processing any reimbursements, bonuses or any
other forms of payroll compensation or adjustments. This position
serves our employees in a very important fundamental operation, all
information is also shared with our financial accountants for
recording purposes to assess business operational costs and
profitability reports.ESSENTIAL JOB FUNCTIONS:
- Responsible for the preparation and processing of payroll;
review and ensure accuracy of approved timesheets; verify that all
timesheets are approved by the appropriate level of authority;
track and deduct all garnishments and other special payroll
deductions
- Monitor the processing of new hires, employee status changes,
terminations, and other employee processes for appropriate
management approvals
- Monitor overtime and report fluctuations periodically to
management.
- Ensures payroll is executed accurately and timely by partnering
with human resources and management
- Verifies the collection of worker payroll information during
the onboarding process, and coordinates with the HR team as
needed
- Confidentially reviews payroll processing by reviewing
HR/Payroll information that was entered into the system
(garnishments, benefit adjustments, deductions, verifies new-hire
information is entered correctly, etc.)
- Monitors returned ACH deposits, and reissue any returned
funds
- Oversee/prepare a variety of payroll related documents (e.g.,
weekly, monthly, quarterly, and year-end reports, W-2s, IRS, W-3s,
Affordable Care Act etc.) to meet compliance and audit
requirements
- Investigates any payroll discrepancies
- Processes any manual or off cycle payments, employee
reimbursements, pay card payments, termination pay as needed
- Complete gross up requests
- Assess the ongoing relationship with 3rd party payroll service
vendor to ensure optimal payroll processes
- Provides customer service to internal teams and payroll vendor
as needed
- Consult with appropriate party on discrepancies, problems, and
issues involved in the payroll process
- Forecasts payroll payments to Financial Manager and other
members of management, and liaise with the accounting team on all
payroll related reconciliations
- Partner with HR to align benefits & time off enhancements,
ensuring accurate consideration as and when necessary
- Demonstrates extensive knowledge and understanding of the
payroll function, including all applicable federal, state and local
regulations
- Experience working with high volume staffing workforce in a
high speed environment
- Personally exhibits a strong commitment to dependability and
reliability; ability to gain the confidence and respect of the
customer base and holds a high degree of integrity, understanding
the importance of sensitive and/or confidential information
- Demonstrates aptitude to work independently using analytical
thinking; possesses a strong understanding of business processes to
deliver requested output timely and accurately
- Manages multiple assignments simultaneously; remains organized,
detail oriented and flexible in a fast-paced, challenging work
environment
- Prepare manual checks when absolutely necessary
- Process all garnishments, child support and tax levy
orders
- Comply with all federal, state and local regulatory
requirements for the payment of compensation and related taxes;
Ensures to appropriate deductions from employee wages for FICA,
Social Security, Medicare and others.
- Work closely with Human Resources to maintain compliance with
company policies
- Run queries utilizing payroll software, research and answer all
payroll related questions
- Tracks time accordingly to ensure no employee is overpaid due
to lack of benefits
- Works closely with HR and management regarding employee's
payroll changes and calculations related to worker's compensation,
FMLA, accrued time off balances and Military Leave
- Provides accrual time off reports to HR and managementPOSITION

- Minimum Associate Degree in Human Resources required;
Bachelor's Degree in Human Resources or Accounting or related
discipline is strongly preferred
- Two to three years related experience and/or training; or
equivalent combination of education and experience
- Two to three years of previous payroll processing experience
preferably using Paychex or other major software systems
- Knowledge of basic bookkeeping, accounting principles,
maintenance of fiscal and accounting records
- Exceptional knowledge of federal, state and local laws and
protocols specifically in payroll and timekeeping
- Prefer certifications in CPP or FPC GENERAL SKILLS/EXPERIENCE:
- Broad knowledge of the principles, practices, terminology and
techniques of payroll and timekeeping
- Strong organizational skills and proven ability to maintain
accurate, detailed records that will be audited periodically
- Discretion and trustworthiness, and the ability to keep all

- Must understand and be able to calculate variety of
bonus/incentive pay
- Stable work history, displayed regular job attendance (minimal
absents)
- Must be eager to learn, be detail oriented, possess good math
aptitude, and be able to work in a teaming environment
- Must be flexible and have the ability to adjust to sudden
changes in work priorities.
- Attention to detail and extreme care in performing tasks
accurately and carefully are also essential
- Strong communication and data entry skills
- Ability to work with minimal supervision and prioritize
responsibilities
- Ability to work on multiple projects at once with tight
deadlines
- Ability to interface effectively with employees at all levels

- Must be a self-starter and have the desire and ability to take

- Knowledge of Federal and State Taxation & Payroll/Wage
laws
- Possess a thorough understanding of the importance of
confidentiality and non-disclosure according to the general
standards set forth by HIPAA
- Ability to be pragmatic in decision making; requires high
integrity

- Ability to take direction, coaching and act positively to
improve performance
- Prefer Bilingual verbal and written communication skills in
English & Spanish

- General knowledge of basic hardware and software and uses of a
variety of different computer operating systems such as Microsoft
