Job DescriptionMinisterial Character Positions employed at St.
Louis for the benefit of St. Philip help to extend the ministry of
the parish in particular ways as outlined in the job description.
Employees help the Pastor with the purpose and promise of the
parish to help people hear the call of Christ to "come and be set
apart" by welcoming sinners and fostering saints through
relationship, excellence, unity, and joy. As an essential element
of the parish's hospitality and administrative goals, the employee
in this position is closely connected to and assists the Pastor in
the performance of his/her ministry and thereby engages in ministry
for the Church. It is our desire that we make disciples of all
nations and this aided profoundly through good stewardship of what
God has given us through effective organization and
administration.Job SummaryThe St. Philip mission business manager
fulfills the mission of the church by providing organizational
support for the parish mission's priests and associated ministers
within the framework of the parish's philosophy, organization, and
policies. The mission business manager serves as the primary point
of contact between the mission and the parish director of
operations and business, serving to support the administrative
needs of the mission office and assigned office duties. The mission
business manager has decision-making responsibilities within
essential job functions, in keeping with parish policies. The
position is hired by the pastor with the assistance of the director
of business and operations. The position reports to the director of
business and operations.Essential Duties
- Supports and upholds the philosophy of Catholic education and
the mission of the Parish
- Acts as a witness to Gospel values by modeling the teachings of
the Catholic Church
- Supports and adheres to the Code of Conduct and policies and
procedures of the parish, and Diocese
- Maintains confidentiality regarding Parish matters
- Communicates with EIM site administrator to ensure all
necessary volunteers and personnel are EIM compliant.
- Welcomes visitors to the office and phone calls in accordance
with the parish core value of joy and excellence, exhibiting superb
hospitality
- Collaborates closely with St. Philip ministry teams and
volunteers to ensure healthy fulfillment of the parish purpose and
promise.
- Maintains and administers the Parish Database System
- Receives and sorts incoming mail and deliveries, and manages
outgoing mail, coordinating with St. Louis Director of Business and
Operations
- Provides event and program support some weekends and evenings
throughout the year.
- Assists with the organization of the Bishop's Annual
Appeal
- Coordinates with the Director of Business and Operations parish
accounting team, acting as the mission liaison to ensure payment of
invoices, the record of deposits, and reconciliation of accounts in
accordance with generally accepted accounting principals.
- Assists parish accounting team in banking and other financial
transaction activities as required
- Assist the Director of Business and Operations in communicating
and overseeing mission vendors, contracts, permits and
licenses.
- Monitors and orders supplies (office, janitorial, sacramental,
etc.)
- Maintains collection envelope list
- Manages facility rentals
- Assists in overseeing the collection of money each week
- Assist Director of Business and Operations in the preparation
of year-end financial statements and mailings to parishioners for
tax purposes
- Files, organizes and maintains a filing system for all
important Parish documentation
- Aids in maintaining the sacramental registry
- Coordinates with volunteers to produces weekly bulletin and
Flocknote emails and posts items to website
- Meets staff development guidelines as set forth by the
Diocese/local administration
- Demonstrates professionalism in conduct, demeanor, and work
habits
- Maintains a work schedule that maximizes availability to the
Parish
- Serves as a professional representative of the pastor and
parish
- Communicates effectively with those in the mission
community
- Collaborates with peers to enhance the work environment and
support organizational planning
Knowledge, Skills, and Abilities
- Knowledge of the basic teachings of the Catholic Church
- Knowledge of Microsoft Office applications
- Knowledge of use of office equipment
- Able to communicate effectively in both written and verbal
form

QualificationsEducation:
- High school diploma or equivalentExperience:
- Experience as a secretary or administrative
assistantCertifications and Training:
- Must submit an Ethics and Integrity in Ministry (EIM)
Application for Ministry within the first week of employment,
participate in an EIM Basic abuse prevention training workshop
within 60 days of submitting a complete Application for Ministry,
and maintain EIM compliance during the entire term of
employment.

Working Conditions
- Required to work some nights and weekends
